WhyWhy we made it
Existing free templates stop at “handed over.”
We compared about 20 handover templates distributed in Japan. Almost all had the same six fields (task, steps, contacts, file location, notes, frequency), blank and without examples. Yet what successors most wanted was “the criteria for judgment in irregular situations.” Japan's Ministry of Health, Labour and Welfare finds that 44.2% of establishments report skills-transfer problems, while only 22.0% document the know-how of staff about to retire.
| Item | Typical free template | This kit |
|---|---|---|
| Judgment rules and exceptions | Almost never | Required fields on the task card, plus 20 interview questions in the guide to elicit them |
| Incident history | None | When, what happened, how it was handled, what was changed |
| Annual and irregular tasks | Mostly daily to monthly only | Annual calendar, plus trigger and last-output fields on the task card |
| One person, many tasks | Often one detail block only | Two layers: inventory plus one sheet per task, copied as needed |
| Prioritization | None | Impact × replacement score; 20 or more means the successor must perform alone before the handover ends |
| Definition of done | A stamp field (handed over) | Four stages (watched → together → alone with check → alone) and 30/60/90-day reviews |
| Accounts and keys | Some include a login-details field | Only where IDs are kept and the deactivation record. No passwords |
| Filled example | Usually blank | Included |
| Guidance for the successor | Written for the predecessor only | Separate checklists for manager, predecessor and successor |

How to use in 3 steps, symbols, terms of use
1 Emergency card
The minimum a company needs if the owner or the accounting person is suddenly absent. Records where credentials are kept, never the credentials themselves
2 Task inventory
Every task with its frequency, owner and backup. Priority is computed automatically from impact × replacement; completion stage ①–④ is recorded
3 Task card
One sheet per task: steps with key points and reasons, completion state, exceptions, judgment rules, incident history, timing of annual tasks, where the last output is, contacts, file locations
4 Annual calendar
A 12-month view (April start) with statutory deadlines so once-a-year tasks are not missed
5 Account and key ledger
System IDs, keys, cards and seals: where they are, and the planned and confirmed dates of deactivation and return. No passwords
6 Schedule and completion log
Handover plan (predecessor, successor, manager, last day, question period) and the four-stage record per task with 30/60/90-day checks
7 Role checklists
What the manager, the predecessor and the successor each confirm (8–9 items each)
Example sheets (3)
A filled example for a person who handles both accounting and general affairs
How to useHow to use
Design the handover in three steps.
- STEP 01
List every task
Write every task into the inventory, including the ones that happen only a few times a year. Those are the ones most often missed.
- STEP 02
Set priorities
Score each task for impact if it stops (A, 1–5) and for who else can do it (B, 1–5). Tasks scoring 20 or more must reach the stage where the successor performs alone before the predecessor leaves.
- STEP 03
Write task cards and verify
Starting with the highest priority, write a task card with steps, judgment rules, exceptions and incident history. Record the date when the successor completed the task alone.

Can we distribute or adapt them?
Yes. Internal use and distribution, adaptation and commercial use are allowed. Labor and social security attorneys, tax accountants and consultants may distribute the kit to clients. Keep the attribution line when redistributing and do not sell the kit itself.
Do they work in Google Sheets?
Yes. Import the Excel file and the automatic priority score and input rules carry over.
Is the legal and statistical content current?
Figures and programs were checked against official Japanese sources (MHLW, SME Agency, METI, IPA) as of 12 October 2026, with a 30-item reference list at the end of the guide. Confirm important decisions with a qualified professional.
